Issue invoices from dependable information
Check the customer entity, billing contact, agreed work and payment terms before sending an invoice. Use item descriptions that make sense to the recipient and include references they need for their own approval process. Where project time or expenses feed billing, review those records first. Pixie CRM supports branded document and email delivery, so the customer sees a consistent identity across the invoice and its accompanying message.
Follow up with the right context
A late payment may reflect a missing purchase-order reference, a disputed item or an invoice sent to the wrong person. Record those issues against the customer rather than relying on a reminder alone. Payment status and remaining balances should be reconciled with the configured payment and accounting processes. Define who can make corrections, when a credit note is required and which actions need finance approval. Automation is most helpful when exceptions remain visible.
