Define what a completed purchase should trigger
Agree which product identifier, customer record and payment status establish a valid order. Then specify how the buyer receives the relevant access or delivery information. Keep the confirmation clear about what has been purchased and where to obtain help. If a storefront or payment provider manages the transaction, decide which system owns the order and how the CRM receives a dependable reference to it.
Plan for more than the successful checkout
Refunds, duplicate purchases, failed payments and changed email addresses can all affect fulfilment. Establish who reviews these cases and how access or delivery records are corrected. Support colleagues need enough transaction context to investigate without exposing unnecessary payment details. Where licensing, subscriptions or an external download service is involved, confirm the integration, access controls and reconciliation process rather than assuming every digital product follows the same delivery pattern.
