Make intake a controlled handover
Collect the information needed to assess an enquiry and assign the right person to review it. Keep sensitive details proportionate to that stage of the relationship. Once an engagement is accepted, connect the agreed scope, relevant contacts and key dates to the work record. Define who can create, change and share documents, and keep internal review notes separate from material intended for the client.
Keep professional judgement in the workflow
Tasks and reminders help organise deadlines, but staff still need to verify the applicable dates and requirements. Time records should support supervision and billing without exposing unnecessary confidential detail. Review access when team membership changes and agree how completed matters or projects are retained. If specialist practice management, conflict checking, court processes or regulated accounts are required, assess those needs individually and identify any systems that must remain authoritative.
