Build a dependable route from agreement to invoice
Decide who confirms the billing contact, purchase order, agreed amount and delivery milestone. Link invoices to the relevant customer and commercial context so finance can resolve questions without restarting the conversation. For recurring services, review start dates, billing frequency and changes before the next billing cycle. Define how credit notes and payment adjustments are authorised, and retain the reason for a correction alongside the affected record.
Reconcile the flow between systems
If Xero, Sage or QuickBooks remains your accounting record, agree which system creates each document and which values move between them. Customer matching, tax treatment, invoice identifiers and payment allocation need deliberate mapping. Review exceptions such as partial payments, duplicates and cancelled work before relying on an automated exchange. A useful finance dashboard distinguishes money billed, money received and overdue balances rather than treating them as the same measure.
