Start with one working customer journey
Choose a process you repeat often: an enquiry becomes a qualified lead, an estimate is agreed, work is delivered and an invoice follows. Give each stage an owner and a clear completion point. Bring in your active contacts, open opportunities and essential documents first. An initial setup does not need every historical spreadsheet column. A short, well-maintained record is usually more useful than a large database that nobody trusts.
Add structure without creating another job
Keep your first pipeline simple, use a small number of task types and agree when people update the record. Review overdue follow-ups and unpaid invoices in a regular team check-in. Add recurring billing, projects or support when those activities need their own structure. Before choosing a package, explain who will use the system, which tools you want to connect and how much help you need with migration and onboarding.
