Connect the activity to the customer record
Decide whether the priority is meeting coordination, relevant email context or access to documents held in Microsoft 365. Identify the accounts and shared resources involved, and agree how an activity is associated with a customer or project. A document link should lead to the intended file without changing its existing sharing permissions. Keep internal conversations distinguishable from information appropriate for a client-facing record.
Plan for staff and permission changes
A useful connection continues to make sense when a colleague changes role or leaves. Define who owns shared calendars and documents, how access is reviewed and which system controls changes. For synchronised activity, agree the direction of updates and how duplicates or conflicting edits are handled. Confirm the supported Microsoft 365 services, tenant permissions and implementation scope; mentioning the suite does not mean every application or record type is connected.
