Connect the adjustment to its reason
Begin with the relevant customer and invoice, then record the amount and why the credit is being issued. Check the item, currency and tax treatment through your finance process. Keep supporting communication available to the people who approve and explain the correction. A clear reference makes it easier for the customer and their accounts team to match the credit with the document they already hold.
Separate a credit from a refund
A credit may reduce an outstanding balance or be allocated according to the agreed process. Returning money through a payment provider is a separate action and may have its own approval and reconciliation requirements. Define who can issue, allocate or reverse credits, and review unusual amounts. When accounting software is connected, confirm how the adjustment is represented there so the customer account and finance records do not tell different stories.
