Specialist business workflows

Bring the specialist work into the conversation.

Some business processes need more than a standard customer record. The areas below are requirements to explore during discovery. Availability, implementation effort and any separate software or integration must be confirmed for the proposed service.

Loyalty and membership

Describe membership eligibility, renewal dates, benefits and the records needed to explain a decision. Agree how changes or cancellations affect access and any linked billing. Loyalty and membership requirements should be scoped explicitly rather than assumed to follow from a contact database.

Referrals, affiliates and commissions

Define how a referral is attributed, what qualifies for a reward and who approves it. Consider cancellations, duplicate claims, adjustments and the evidence finance needs before payment. Staff commissions and external affiliate arrangements may need different approval and reporting rules.

Appointments and scheduling

Map availability, booking ownership, reminders and rescheduling. Decide whether appointments belong in the CRM calendar or require a specialist booking connection. Include time zones, cancellations and the information a colleague needs before meeting the customer.

Assets and equipment

Identify the assets you need to track, their locations, custodians and service history. Distinguish a company asset from a product held for sale. Discuss allocation, return, maintenance and disposal requirements alongside any inventory or finance connection.

Purchasing and suppliers

Explain the route from a purchasing request to approval, supplier order, receipt and payment. Define supplier records, delegated approval limits and the information needed to reconcile what was ordered with what arrived. Confirm the accounting and inventory responsibilities before choosing a workflow.

Manufacturing requirements

Bring examples of products, components, production steps and the way stock changes are recorded. Bills of materials, production planning, traceability and costing need explicit review. A general CRM or inventory module should not be treated as confirmation of a complete manufacturing system.

Recruitment and candidate handling

Map vacancies, candidate communications, interview decisions and access to personal information. Agree retention and deletion responsibilities and separate applicant records from ordinary customer marketing. Confirm whether the proposed setup uses a specialist module or an external recruitment application.

Retail and point of sale

Identify the locations, payment methods, returns and stock movements involved. Confirm hardware, offline needs, tax handling and reconciliation with the systems you already use. A connected CRM can support customer context, while point-of-sale operation requires its own clear technical and commercial scope.
