Handle changes and external calendars deliberately
When a meeting moves or a milestone slips, make the change visible to the people affected. Check time zones for teams and customers working in different locations. If an external calendar is connected, agree which system owns an event and how updates, cancellations and duplicate entries are handled. A shared calendar is a planning aid; it does not establish that a colleague has accepted an appointment or that a required task is complete.
