Start with the everyday staff journey
Identify the information needed when someone joins, changes role, requests leave or leaves the organisation. Give each task an owner and keep the required documents connected to the relevant employee record. A manager may need to review a leave request without seeing unrelated HR material. Use representative roles to test that distinction before introducing the workflow to staff.
Keep sensitive decisions with people
Set clear expectations for who maintains records, who approves requests and how corrections are handled. Collect only the information needed for the defined process and agree appropriate retention and export handling. Performance or employment decisions require context and human responsibility; a dashboard or automated rule should not make them by itself. Payroll, recruitment and specialist employment requirements should be scoped explicitly rather than assumed to be included in a general HR module.
