Map the movement of an item
Start with the catalog identifiers, locations and events that change stock. Agree how receiving, allocation, movement and dispatch are represented in the proposed setup. Clarify which quantity a salesperson can rely on when discussing availability. A count on a screen needs a shared definition, especially when some goods are reserved, awaiting receipt or being checked. Use representative orders to test the commercial-to-warehouse handover.
Make discrepancies visible
A missing item, incorrect quantity or returned delivery needs a controlled correction rather than an unexplained edit. Decide who can adjust records and what supporting context is required. Where another inventory or accounting system is authoritative, agree the synchronisation and reconciliation process. Specialist requirements such as serial tracking, batches or complex valuation should be assessed explicitly instead of assumed from the general inventory description.
