Give the assistant a defined job
A draft follow-up, a summary of an internal note or a proposed task description each needs different context. Choose the information required for that task and avoid sending unrelated customer data. Establish the tone, format and facts that must be preserved. Staff should be able to compare the output with the source, correct inaccuracies and decide whether it is suitable for the intended audience.
Keep consequential actions under appropriate control
Generated text can omit detail or introduce mistakes. Do not treat a confident response as proof that a customer record is accurate or that a professional judgement has been made. Define the review needed before communication is sent or records are changed. Confirm the provider account, access, applicable data terms, usage costs and supported configuration during implementation. Review performance against representative examples from your own workflow rather than a generic demonstration.
