Use a rule when the decision is dependable
Assignments, reminders and follow-up tasks can often be described precisely. Define the trigger, conditions and intended action, then test cases that should and should not qualify. Make the rule's owner and exception route visible. If a process regularly needs judgement or missing information, simplify the process before trying to automate all of it. A dependable small workflow is easier to maintain than an opaque chain of actions.
Use assistance where a person can check the result
Summaries, response drafts and classification suggestions need appropriate source information and a review point. Decide which records may be used and whether a connected provider is suitable for that information. Check factual details and customer commitments before using generated text. Keep a route to work without the assistant, and avoid turning a suggestion into an automatic financial, contractual or other consequential decision.
