Organise requests around resolution
A ticket needs a useful description, appropriate priority and an owner. Departments help route work, while status should explain whether the team is investigating, waiting for information or reviewing a resolution. Internal notes can support a handover without becoming part of the customer reply. Where email is connected, check that replies and attachments remain associated with the right conversation.
Use each request to improve the next one
Common questions can become maintained knowledge-base articles or carefully written response templates. Feedback can reveal where an explanation or process needs to change. Review old, unassigned and repeatedly reopened tickets as well as headline response figures. A quick acknowledgement is useful, but it should not disguise a request that has no responsible person. Service commitments must reflect the actual support arrangement and the team's ability to deliver them.
