Import new opportunities from CSV

Review a small CSV batch, choose defaults and create valid deals while preserving existing records.

Before you start

Use your own authorised staff account in the intended Pixie CRM workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Select Download blank template. Add one opportunity per row and keep the exact column names.
  2. Give every row a stable external_key and a title. Complete required custom fields using the column reference in the import form.
  3. Save as comma-delimited UTF-8 CSV, with one to fifty data rows and a maximum file size of 60,000 bytes.
  4. Choose the file, then select a default pipeline, stage, owner and currency. These defaults apply when the corresponding column is missing or empty.
  5. Select Review file. Read every row result and any warning about an existing accessible opportunity with the same title. Correct invalid rows and review again.
  6. Acknowledge that you reviewed the rows, then select Create new deals. Review the result counts and download row results before closing when you need a record of failures.

Behavior and limits

  • Import creates new opportunities. It does not update, merge, delete or overwrite existing deals.
  • The server validates permissions, owner eligibility, native customer/lead/contact access, currency, stage requirements and custom fields again before saving.
  • Approval-controlled stages cannot be imported directly. Create the opportunity in an uncontrolled stage and request approval normally.
  • Active Deal created automation rules can run for newly imported deals, using the importing staff member’s existing permissions.
  • All invalid preview rows must be corrected before the create action starts. Each created row then has its own transaction; a later runtime failure does not undo already completed rows.
  • The uploaded CSV is processed as data. A copy of the source file is not stored in the Sales CRM module.
  • Creation timestamps are recorded at import. Importing a Won or Lost deal records its current closing event at import time; the CSV does not backdate historical creation or closing events.

Check it worked

  • Compare Created, Existing and Failed counts with the number of reviewed rows.
  • Open a created opportunity and check its owner, currency, value, stage, custom fields and any generated activities.

Troubleshooting

  • If the Import card is missing, your role may lack Create deals permission.
  • If a file is rejected, confirm UTF-8 encoding, comma delimiter, exact unique headers and the row/file limits.
  • Changing the file or defaults clears the previous review. Review again before creating records.
  • A closed session or interrupted response can be retried using the same account, references, data and defaults. Use the retry guide before changing references.
