Export filtered opportunities to CSV
Download accessible deal details and active custom fields using the filters last applied to the pipeline.
Where to goSales CRM → Deals → Apply filters → Import & export → Export filtered CSV
Before you start
Use your own authorised staff account in the intended Pixie CRM workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.
Follow these steps
- Open Deals, select the desired pipeline, owner, outcome, currency, date, attention and archive filters, then select Apply.
- Confirm the matching count and records. The export uses these applied filters across matching records, not only the currently displayed page.
- Open Import & export and select Export filtered CSV.
- Open the UTF-8 CSV in your spreadsheet application. Review IDs, stage, owner, currency, amount, dates, next step, notes and accessible active custom fields.
- Keep currency groups distinct when analysing values. Compare the exported count with the intended filtered scope.
Behavior and limits
- Each export supports at most 500 matching deals and 2,000,000 CSV bytes. Narrow the filters when either limit is exceeded; an oversized export is rejected rather than silently truncated.
- The server reads current records when you export. The applied filter criteria are retained, but records may have changed since the pipeline was loaded.
- Owner-only users can export only their own accessible deals. Administrator-only custom fields are omitted for ordinary sellers; retired custom fields are excluded.
- The export includes relationship IDs already stored on accessible deals, not unrestricted customer or lead profiles. Internal request keys and hashes are excluded.
- Text that might become a spreadsheet formula is prefixed as literal text. A plain-text viewer may show the leading apostrophe.
- This export is an analysis report. Its IDs, descriptive headers and protected text are not a direct import template, and importing it does not update existing records.
Check it worked
- Check the downloaded sales-crm-deals file and compare a known deal’s currency, value and owner with the application.
- Confirm private custom-field columns are absent when using a seller account.
Troubleshooting
- If filters were edited but not applied, return to Deals and select Apply before exporting again.
- If more than 500 deals match or the file exceeds 2 MB, narrow the pipeline, owner, dates or search text and apply the changes.
- If all data appears in one column, import the file as UTF-8 with comma delimiter and double-quote text qualifier.
- An empty export can be valid for the current filters or record permissions; its header still identifies the available columns.
