Reconcile a bank account
Pixie CRM guidance. Follow the route for your workspace, check your role and enabled modules, and verify the result before moving on.
Compare the Accounting bank register with a bank statement and complete a controlled reconciliation for the statement period.
What you’ll accomplish
Compare the Accounting bank register with a bank statement and complete a controlled reconciliation for the statement period. It forms part of Pixie CRM Enterprise CRM's Accounting & Bookkeeping module and uses the module's permission-aware controller, status and mapping flow rather than a generic spreadsheet process.
How it works
The module supports both the main Reconcile area and a bank-account reconcile workflow, with transaction tables, save-for-later, finish and completeness checks.
It can offer adjusting-entry and leave-uncleared choices for unresolved items. Use an adjusting entry only when it represents a real, approved accounting event.
Completed reconciliations feed the Bank Reconciliation Summary and Detail reports.
Follow these steps
- Select the bank account.
- Enter statement dates and ending balance.
- Verify the beginning balance.
- Check withdrawals and deposits and mark or match statement items.
- Investigate unmatched and uncleared transactions.
- Use Save for Later if the review is incomplete.
- When the difference is resolved, complete the reconciliation and retain the report.
Settings to check
Check it worked
After the action is saved, Pixie CRM keeps the Accounting record connected to its source and updates the visible status or ledger data supported by this workflow. Review the saved result rather than relying only on a success message. Where the action posts accounting data, total debits and credits must balance and the accounts must match the approved mapping or manual selection.
- Open the saved record and confirm its final status.
- Review the source reference and every debit and credit line where ledger data was created.
- Use the relevant register, ageing, reconciliation or report to verify the wider effect.
Common mistakes to avoid
- Do not force a zero difference with an unexplained adjustment.
- Do not reconcile the same statement period twice.
- Verify outstanding items are genuine timing differences.
- Complete reconciliation before close books.
- Use the least destructive correction available and record the reason for material changes.
- Do not bypass a permission, approval or closed-period control by changing unrelated data.
