Before you start

Required access: Prepare tax filings; review/approval capabilities; Submit authorised filings to HMRC. The module must be enabled and its installed version ready for your workspace. Select the intended taxpayer, authority and period before changing a record.

How to prepare and submit a VAT return

  1. Choose the taxpayer’s HMRC authority, From and To dates and obligation state; select Synchronise VAT obligations.
  2. Review the returned period and due date. Confirm the correct Accounting mappings and source records.
  3. For an eligible open obligation choose Prepare frozen return.
  4. Open the frozen filing in Approvals → Review. Inspect validation, reconciliation, anomalies, the amounts and exact snapshot.
  5. Record the required approvals and declaration against that snapshot. Select HMRC filing authority and use the VAT submission action only when all gates pass.
  6. Check the authoritative submission record and PDF filing receipt; verify the HMRC result before treating the return as accepted.

Controls and limits

  • Preparation and approval do not transmit a return. Source changes can invalidate readiness and require a new review.
  • A timeout or unknown response must be investigated in transmission attempts and HMRC evidence before retrying; do not assume acceptance or failure.

Check the result

Reopen the affected record and confirm the taxpayer, period, saved values and status. For external actions, inspect the actual authority acknowledgement or settlement evidence; a local saved or queued state is not acceptance.

If you cannot continue

Read the displayed validation or readiness message. Check the module version, role, source scope, authority, period and current approval evidence. If another person changed the record, refresh and review the current version. Give support the screen, error wording and correlation reference; keep passwords, one-time codes and tax identifiers out of public messages.
