Before you startThis guide follows Accounting and Bookkeeping module version 1.4.5. The required access is Accounting Settings: Edit; related modules active. A related screen can remain hidden when an optional module is inactive, a source record is in an ineligible status, the selected account is inactive or the user is not an assigned approver.

What you’ll accomplish

Set the ledger accounts used for manufacturing material and labour costs and for Omni Sales returns and refunds. It forms part of Pixie CRM Enterprise CRM's Accounting & Bookkeeping module and uses the module's permission-aware controller, status and mapping flow rather than a generic spreadsheet process.

How it works

The Accounting controller contains separate manufacturing order, Omni Sales return-order and Omni Sales refund tables and automatic-conversion update actions.

Manufacturing conversion uses data supplied by the manufacturing module, including material and labour costs. Omni Sales conversion distinguishes the return order from the payment refund.

These tabs are conditional; absence is normal when the source module is inactive.

Follow these steps

  1. Verify each related module is active.
  2. Go to Manufacturing mappings and configure material and labour accounts.
  3. Go to Omni Sales mappings and configure return and refund accounts.
  4. Save settings.
  5. Test a manufacturing order status that triggers conversion.
  6. Test an Omni Sales return and refund.
  7. Check source values, debit-credit balance and inventory effects.

Settings to check

Manufacturing materialsInventory or work-in-progress credit and production debit treatment.
Manufacturing labourLabour or overhead cost classification.
Finished outputInventory or production-output account where supported.
Omni Sales returnReverses sale, inventory and cost effects.
Omni Sales refundPosts the cash or clearing refund movement.

Check it worked

After the action is saved, Pixie CRM keeps the Accounting record connected to its source and updates the visible status or ledger data supported by this workflow. Review the saved result rather than relying only on a success message. Where the action posts accounting data, total debits and credits must balance and the accounts must match the approved mapping or manual selection.

  • Open the saved record and confirm its final status.
  • Review the source reference and every debit and credit line where ledger data was created.
  • Use the relevant register, ageing, reconciliation or report to verify the wider effect.

Common mistakes to avoid

  • Do not enable a tab for an integration the organisation does not use.
  • Separate production variances from ordinary expenses.
  • Treat return and refund as separate events.
  • Check bank or gateway settlement accounts.
  • Use the least destructive correction available and record the reason for material changes.
  • Do not bypass a permission, approval or closed-period control by changing unrelated data.
Accounting and data safetyDeletion, reset, void, refund, mapping, journal and reconciliation actions can change financial history. Use approved access, retain supporting evidence and validate the result in the General Ledger or relevant control report.
