Chart of Accounts overview
Pixie CRM guidance. Follow the route for your workspace, check your role and enabled modules, and verify the result before moving on.
This guide explains the ledger account list, account types, active status, balances and how accounts are used by mappings and reports.
What you’ll accomplish
Understand the ledger account list, account types, active status, balances and how accounts are used by mappings and reports. It forms part of Pixie CRM Enterprise CRM's Accounting & Bookkeeping module and uses the module's permission-aware controller, status and mapping flow rather than a generic spreadsheet process.
How it works
The Chart of Accounts is the structural foundation for every automatic conversion, journal entry, bank transaction, bill, check and report.
Account-type detail options can be customised in Settings. That flexibility should be governed because it affects statement grouping.
The module supports bulk account actions and imports; use them only after validating a sample and preserving unique numbers.
Follow these steps
- Go to Chart of Accounts.
- Filter or search for an existing account before creating another.
- Check type, detail type, number, name and active status.
- Go to an account register to inspect activity.
- Use mappings to see why an account receives transactions.
- Run Account List and Trial Balance reports for structural review.
Settings to check
Check it worked
After the action is saved, Pixie CRM keeps the Accounting record connected to its source and updates the visible status or ledger data supported by this workflow. Review the saved result rather than relying only on a success message. Where the action posts accounting data, total debits and credits must balance and the accounts must match the approved mapping or manual selection.
- Open the saved record and confirm its final status.
- Review the source reference and every debit and credit line where ledger data was created.
- Use the relevant register, ageing, reconciliation or report to verify the wider effect.
Common mistakes to avoid
- Avoid duplicate accounts with slightly different names.
- Do not change an account type after material posting without finance review.
- Deactivate rather than delete accounts with history.
- Reconcile control accounts to their source ledgers.
- Use the least destructive correction available and record the reason for material changes.
- Do not bypass a permission, approval or closed-period control by changing unrelated data.
