Review pending quotations and request changes

Find pending quotes, inspect their terms and record an independent approval decision.

Where to goSales CRM → Products & pricing → Quotations awaiting your review, or an opportunity → Quotations

Before you start

Use your own authorised staff account in the intended Pixie CRM workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Open Products & pricing and review the pending quotation cards. Select a card to open its full terms.
  2. Read the book version, preparer, requester, validity, products, discount, tax totals and notes.
  3. Enter a decision note. Select Approve quotation when the terms are acceptable, or Request changes with a required explanation.
  4. If pricing or opportunity information changed, request changes or have an authorised editor return the quote to draft and refresh it.
  5. Confirm the final state, reviewer details and decision note.

Behavior and limits

  • The review list shows up to 50 oldest pending quotes on accessible active open opportunities. Quotes you prepared or submitted are excluded. Other pending quotes can still be opened from their opportunity.
  • Approval checks current book version, catalogue terms, opportunity revision, currency, validity and linked-record access again. A changed record cannot silently reuse an older approval calculation.
  • An expired or stale pending quote can be rejected with a note. It cannot be approved until its terms are refreshed.
  • Approval preserves the quoted terms. Subsequent commercial revisions require a new quotation.
  • This is internal approval. Customer sending, signatures and acceptance remain separate native Estimates actions.

Check it worked

  • Approved quotes display the deciding reviewer and time. Requested changes display the explanation.
  • Expand Quotation history for the most recent 100 save and decision events, including full review notes. The opportunity history also contains a concise event.

Troubleshooting

  • If the review list is absent, the account may lack quotation approval or Items View.
  • If a quote is absent, it may belong to another viewing scope, be prepared/submitted by you, be outside the oldest 50 or be attached to a closed/archived opportunity.
  • A stale-revision message means another person acted first. Reopen the quote before taking another action.
