Refresh or reconnect an expired connection
Understand Pixie CRM connection expiry, rotating refresh credentials and when to retest or reconnect an approved Zapier app.
Before you begin
Identify the affected company connection and the Zaps using it. Check whether the staff member is still active and still has the permissions required by those Zaps.
CRM workspace → Tools → Pixie CRM Automations (or Utilities in a classic layout)
Follow these steps
- Run the connection test in the approved Zapier app and read the visible error.
- Confirm that the account, company and lead permissions have not changed.
- Allow the approved app’s configured automatic refresh flow to operate. Do not manually copy or reuse old refresh credentials.
- If the app asks you to reconnect, repeat the normal consent flow for the correct workspace.
- Check the new connection’s identity, retest affected Zaps and confirm any event subscriptions needed by the new connection.
Check the result
The app connection works for the intended company and the relevant trigger/action tests pass after the refresh or reconnection.
Rules, fields and operating limits
- Access credentials last about one hour in the current configuration.
- Refresh credentials have a rolling expiry of about 90 days from issuance or successful rotation.
- Successful refresh replaces both access and refresh credentials. Old refresh credentials are not reusable.
- Automatic refresh depends on the approved Zapier app being configured correctly; the backend alone cannot guarantee that setup.
If something does not look right
For repeated invalid_grant or invalid_token errors, pause repeated tests and ask support to check the flow. A permission problem, an expired credential and a refresh configuration problem need different remedies.
Questions and answers
Do I have to sign in every hour?
A correctly configured approved app can refresh access without a new interactive sign-in. Reconnect when the app requests it or when the refresh flow can no longer complete.
Why does an old refresh credential stop working?
Rotation replaces it after use. Reusing an older value should fail; let the approved app manage the returned credential pair.
Does changing permissions require a new connection?
The current permission checks can block operations immediately. Review the changed access and retest; reconnect if the approved app requests fresh consent or different scopes.
Can I repair expiry by changing the computer clock?
No. Credential expiry is checked by the service. Use the supported refresh or reconnection path.
Will reconnecting replay missed leads?
No historical replay is implied. Review the affected period and agree any catch-up work separately before creating or replaying records.
Should two different tools share the same refresh credential?
Avoid manually sharing credentials. Independent refresh attempts can rotate the same connection and invalidate values held by another tool.
