Require information before a deal enters a stage

Prevent stage moves until the essential sales information has been recorded.

Audience: authorised staffPermission: Administrator to configure; Edit accessible deals to move recordsReviewed 30 October 2026
Where to goSales CRM → Sales setup → Configure pipeline → Required information before entry

Before you start

Use your own authorised staff account in the intended Pixie CRM workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Select the destination stage and choose required Customer, Lead, Contact, Close date, Value above zero, Next step or Loss reason.
  2. Save the pipeline.
  3. On the deal, use Edit details to record missing information and save it while still in the current stage.
  4. Choose the destination in the deal’s stage selector and choose Move / request approval.

Behavior and limits

  • Checks run on the server for saves and moves, including requests made outside the visual form.
  • Won always requires a close date; Lost always requires a reason.
  • A required amount must be greater than zero. Merely entering 0.00 does not satisfy the condition.
  • Required custom deal fields also apply when saving or moving a deal. New requirements apply on the next attempted operation; they do not silently rewrite old records.

Check it worked

  • Try a controlled example with a missing required value, confirm the validation message, complete the value and retry.

Troubleshooting

  • A stage error names the missing native fields. Complete them through Edit details before moving.
  • If a required custom field is missing from your form, refresh after configuration changes and have an administrator review its availability.
