Retire, repair and restore contact reporting maps

Preserve an outdated map, repair changed contact membership and explicitly restore a reviewed structure.

Audience: authorised staffPermission: Sales CRM viewing access, native customer access and Manage customer contact reporting mapsReviewed 30 October 2026
Where to goSales CRM → Relationships → Customer → Retire map or Review & restore map

Before you start

Use your own authorised staff account in the intended Pixie CRM workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Choose Retire map when its recorded structure should no longer be treated as current.
  2. Enter a reason and confirm retirement. The map remains visible with a retired warning.
  3. Choose Edit reporting map to repair contacts, managers or observed titles.
  4. Remove unavailable placeholders. Check the direct reports of every removed manager and assign current relationships as needed.
  5. Enter a current note, review the full map and save the repair. It remains retired.
  6. Choose Review & restore map, review the current contact list, enter a reason, confirm the review checkbox and choose Restore reviewed map.

Behavior and limits

  • Retirement labels the map as retired and preserves it for reference. It does not delete contacts, customers, opportunities or the current map definition.
  • A moved or deleted contact becomes an unavailable placeholder. Its native identifier and current name are not disclosed through that placeholder.
  • While membership needs repair, observed titles, the saved map note and history reasons are hidden to avoid presenting stale relationship context. Only current customer contact names remain visible.
  • An editor must remove or replace unavailable contacts before saving or restoring. Retirement remains possible while membership is invalid.
  • Removing a manager resets their included direct reports to No reporting manager recorded; the editor explains how many relationships were affected.
  • Editing a retired map does not restore it. Restoration requires an explicit fresh review and a reason.
  • The reason is required for retirement/restoration and can contain up to 1,000 characters. Map versions prevent stale state changes.
  • The latest 100 history actions show the actor, time, version and reason where available. Complete prior maps and earlier note bodies are not retained as history copies.

Check it worked

  • Confirm the Retired reporting map label after retirement.
  • After repair, check that unavailable placeholders are gone and the saved map is still retired.
  • After restoration, confirm the Active reporting map label and the recorded action.

Troubleshooting

  • If restoration is blocked, repair contact membership and review again.
  • If the map changed while you were working, reopen the latest version before applying a state change.
  • If notes or titles are hidden, enter only current verified information during repair rather than assuming an old value remains valid.
  • If the customer itself is deleted or no longer accessible to you, the map is unavailable; it does not bypass native access rules.
