Choose report measures and date periods correctly

Distinguish deal value, weighted value, averages and date bases so a report answers the intended question.

Before you start

Use your own authorised staff account in the intended Pixie CRM workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Choose Record count for the number of opportunities, Deal value for their total value, or Probability-weighted value for the sum of each amount multiplied by its probability and rounded to two decimals.
  2. Choose Average deal value, Average closed sales cycle or Average current stage age when an average is the intended measure.
  3. Select the date basis deliberately: created, updated, expected close, actual closed or current stage entry.
  4. Choose a relative calendar period or Custom dates. Preview the exact From and To dates shown in the result.
  5. For won sales in a period, use Actual closed date and Opportunity outcome = Won. For expected pipeline closes, use Expected close date and Opportunity outcome = Open.

Behavior and limits

  • Monetary measures always separate currencies. There is no automatic conversion or sum across currencies. Counts and time averages can combine currencies because their units are records or days.
  • Closed sales-cycle averages use whole elapsed days from creation to the actual closed date, including Won or Lost records with that date. Records without a closed date do not contribute to the average.
  • Current stage age uses whole days from the current stage entry to refresh time. It is a current snapshot, not historical time spent in every prior stage. Choose Open outcome when analysing active stages.
  • Last 30 and Last 90 days include today. Calendar month, quarter and year include their full calendar boundaries. Custom ranges support up to 367 inclusive days.
  • Records without the chosen date do not fall into a bounded date report.
  • Forecast categories do not implicitly exclude records from custom reports. Omitted, Won and Lost records remain eligible unless your filters exclude them. Weighted value is an arithmetic calculation, not a prediction or guaranteed revenue.

Check it worked

  • Read the measure, date label, exact date range and refresh time above the result.
  • Use the contributing count when checking a closed-cycle average; it can be smaller than the matching record count.

Troubleshooting

  • If a report differs from Forecast & targets, compare date basis, outcome, archive state and forecast-category filters before treating it as an error.
  • An empty actual-closed report may simply contain only open opportunities.
  • For a numeric value condition, select a currency when the threshold represents one currency’s commercial value.
