Read report charts and inspect underlying records
Use bars, line charts, tables and number cards, then inspect the accessible records behind a group.
Where to goSales CRM → Reports → Saved reports → Open report
Before you start
Use your own authorised staff account in the intended Pixie CRM workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.
Follow these steps
- Read the report’s measure, grouping, date basis, period and refresh time before comparing values.
- Use the chosen display: horizontal bars for comparisons, line charts for ordered groups, summary tables for exact values or number cards for focused metrics.
- Expand View values and underlying records to inspect the accessible data table.
- Select a group label or number to open its current matching records. Use Previous and Next when more than 50 records match.
- Open an opportunity from the record list when you need its ordinary detail view. Use Back to report to recalculate the report from the drill-down view.
Behavior and limits
- Money appears in separate currency sections. Every currency section has its own visual scale.
- Line charts show one point per returned group, in report group order. Missing groups or months are not automatically inserted as zero. The scale is displayed and each point carries its value; the value table provides the full accessible text alternative.
- A one-point line report uses the bar display. A time-average result with no contributing records is labelled accordingly rather than being plotted as a real zero average.
- Underlying records are queried again with current permissions, current report settings and current data. A concurrent edit can change the count since the chart was loaded.
- The record list includes every filtered row in the group. Conditional Completed and Overdue activity measures count only the qualifying subset of those rows.
- Saved report results support at most 200 groups. Drill-down pages contain up to 50 records.
Check it worked
- Compare a group’s matching count with its underlying list when no data changed between requests.
- Check exact values in the table before relying on a chart’s visual bar length.
Troubleshooting
- If a group no longer has records, refresh the report; its data or access may have changed.
- If a report now has more than 200 groups, narrow its filters or change the grouping.
- A preview cannot open underlying records until the definition is saved.
