Audience: authorised staffPermission: Definition owner with Sales CRM viewing access; administrator to restore shared definitionsReviewed 30 October 2026
Where to goSales CRM → Reports → Saved reports or Dashboards

Before you start

Use your own authorised staff account in the intended Pixie CRM workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Find your definition card and select Edit, or use Edit report / Edit layout while viewing it.
  2. Update the intended name, description, settings or composition, then save.
  3. Choose Retire on the card when the definition should stop appearing in active use.
  4. Enable Include my retired reports and dashboards to find a retired definition you own.
  5. Edit the retired definition if needed, then choose Restore when it is ready to be used again.

Behavior and limits

  • Retiring affects the saved definition only. It does not archive opportunities, alter activities or delete source CRM records.
  • Retired reports cannot run, and their dashboard widgets become unavailable. Other widgets continue to work.
  • Only the owner can change a definition. Every edit and archive-state change checks its revision to avoid overwriting another session’s change.
  • Retired definitions still count toward the 50-report and 10-dashboard per-account limits. Permanent deletion is not offered.
  • Editing a retired definition keeps it retired; restoration is a separate explicit action.
  • A definition that references a newly unavailable custom field can still be retired. Update its conditions before using it again.

Check it worked

  • After retirement, confirm the definition is hidden until the retired checkbox is enabled.
  • After restoration, open it and verify current results rather than relying on an earlier screen.

Troubleshooting

  • On a concurrent-edit warning, reopen the definition and apply your intended changes to the current version.
  • If a report’s filter field is restricted, replacing that condition is necessary even if the report worked previously.
  • A restored shared dashboard may still contain an unavailable report; edit its layout to replace that widget.
