Control forecast access, locking and reopening

Manage submission deadlines and review windows while preserving every version and protecting independent approval.

Audience: authorised staffPermission: Administrator to manage period state and staff permissionsReviewed 30 October 2026
Where to goSales CRM → Forecast & targets → Submissions & review → Select period → Manage period

Before you start

Use your own authorised staff account in the intended Pixie CRM workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Use your normal staff-role administration to grant the intended CRM viewing permissions. For a reviewer, enable View all deals and Review forecast submissions deliberately.
  2. Keep a period Open while salespeople submit and revise their estimates and reviewers work.
  3. Choose Manage period, select Locked — reviews only, and record a reason when the submission window ends.
  4. Choose Closed — read only with a reason after reviews finish.
  5. If a correction is needed, reopen the period with an explanation. Corrections use new submission versions and independent reviews.

Behavior and limits

  • The addition registers a separate forecast review capability but does not modify existing roles or grant staff new permissions automatically.
  • Own-view staff see their own submissions and history. View-all staff can see all submissions; review still requires the additional review capability.
  • An administrator can change any period between Open, Locked and Closed with a required reason up to 1,000 characters.
  • Locked blocks submissions while allowing authorised reviews. Closed blocks both submissions and reviews. Historical data remains readable.
  • Changing state increments the period revision. A form opened against an older state must refresh before it can save.
  • Period history shows the latest 100 lifecycle events with the actor, reason and time.
  • There is no period deletion or automatic scheduled state transition.

Check it worked

  • Sign in using each intended staff role through your normal process and verify that it sees only its permitted submissions and actions.
  • After locking, confirm the submit action is absent and pending reviews remain available to eligible reviewers.
  • After closing, confirm review actions are absent and existing amounts and history remain visible.

Troubleshooting

  • If an administrator submitted a forecast, another independently authorised reviewer is still needed.
  • If state changes conflict, refresh before applying the intended change.
  • When an employee loses access, their historic business records remain; permissions determine who can view them.
