Collect typed information that fits your sales process while protecting administrator-only details.

Audience: authorised staffPermission: Administrator to configure; deal create/edit permission to complete visible fieldsReviewed 30 October 2026
Where to goSales CRM → Sales setup → Custom deal fields → Add field

Before you start

Use your own authorised staff account in the intended Pixie CRM workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Enter a field label and choose Text, Number, Date, Single choice or Checkbox.
  2. Choose whether the field is required, who may view it and whether it is active.
  3. For a single-choice field, enter one choice per line. Save the field.
  4. Open a deal’s Edit details form and complete its Additional details section. Save and verify the values in the deal detail view.
  5. To stop collecting a field, configure it as Retired. Saved values are retained.

Behavior and limits

  • A workspace can configure up to 100 deal fields. Text values allow up to 2,000 characters; numeric fields allow up to four decimal places.
  • Field types cannot change after creation. Create another field when a different type is needed.
  • Choices already used by deals cannot be removed until the affected records are updated. This prevents silently losing their meaning.
  • Administrator-only fields are omitted from other staff members’ responses and forms. They must be optional so they cannot block sellers.
  • Required active fields are checked on deal saves and stage transitions. A required checkbox must be checked.

Check it worked

  • Test the field with an appropriate staff role and verify both validation and visibility.

Troubleshooting

  • If a new requirement blocks an older deal, complete the field on the next edit before changing stage.
  • If configuration changed while a form was open, refresh it to load the current field list. A restricted field cannot be injected through a request.
