Create and preview saved CRM reports

Build a reusable opportunity or activity report around a clear sales question.

Audience: authorised staffPermission: Sales CRM viewing access; administrator to share a definitionReviewed 30 October 2026
Where to goSales CRM → Reports → Saved reports → Create report

Before you start

Use your own authorised staff account in the intended Pixie CRM workspace. The Sales CRM module must be available and your role must include the permissions stated above. Existing leads, customers, communications and customer portal pages retain their normal access rules.

Follow these steps

  1. Choose Create report and enter a recognisable report name and a short description of the question it answers.
  2. Leave Visibility as Private for your own report. An administrator can explicitly choose Shared for all authorised CRM viewers.
  3. Choose Opportunities or Opportunity activities, then select the measure, grouping and display.
  4. Choose which date the report measures and its period. Apply opportunity filters and any additional public-field conditions.
  5. Select Preview report and inspect the values and currency groups. Preview reads current accessible data without changing CRM records.
  6. Select Save report. Open it from Saved reports to refresh values, inspect underlying records or export the summary.

Behavior and limits

  • Any staff member with Sales CRM viewing access can save personal definitions, including staff without permission to edit opportunities.
  • Each account supports 50 report definitions, including retired reports. Update or restore an existing definition when that limit is reached.
  • Reports read the new Sales CRM opportunities and their activities. They do not create arbitrary joins to native invoices, leads, emails or external databases.
  • Reports are definitions, not retained data snapshots. Results are calculated when opened, previewed or refreshed.
  • A report with more than 200 result groups asks you to narrow filters or choose a broader grouping; it does not silently drop extra groups.
  • The existing Performance reports remain under Reports → Performance.

Check it worked

  • Reopen the saved report and confirm its name, measure, grouping, date basis, period and visibility.
  • Check at least one group against its underlying records.

Troubleshooting

  • If no records appear, review current permissions, date basis, period, archive state and combined filters.
  • If a field became retired or restricted, the report owner must update its conditions before it can run again.
  • A save-conflict message means another session changed the definition. Reopen its current version before saving.
